At Pepvote, we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website ("Site"). Please read this Privacy Policy carefully. If you do not agree with the terms of this Privacy Policy, please do not access the Site.
We may collect information about you in a variety of ways, including:
- Personal Data: Personally identifiable information, such as your name, email address, and telephone number, that you voluntarily give to us when you register on the Site or when you choose to participate in various activities related to the Site, such as online chat and message boards.
- Derivative Data: Information our servers automatically collect when you access the Site, such as your IP address, your browser type, your operating system, your access times, and the pages you have viewed directly before and after accessing the Site.
- Authentication and Session Data: Information needed to keep you signed in, protect your account, and manage secure access to the Site. This may include authentication tokens or session identifiers stored in cookies.
- Analytics Data: Information about how visitors use the Site, such as pages viewed, feature interactions, device and browser information, approximate location derived from technical data, referral information, and error or performance information.
- Cookies and Local Storage: We may use cookies and browser local storage to operate the Site, remember your preferences, store your cookie consent choice, and support account security. Storage used to understand how the Site is used is optional and is only set after you accept analytics. See Section 3.
- Cookie Consent Choice: We store your answer to the cookie banner in your browser, and, if you have an account, against your account so that your choice applies wherever you sign in.
- Device Recognition on Public Ballots: When you vote in a public poll that has no voter list, your browser generates a device signal that we use to stop the same device voting more than once. We use it only to protect the integrity of a vote. We do not use it for advertising and we do not use it to follow you across other websites.
We may use information collected about you via the Site to:
- Create and manage your account.
- Email you regarding your account or order.
- Send security and verification codes by SMS when you choose to add a phone number to your account.
- Process payments and refunds.
- Improve the functionality and user experience of the Site.
- Respond to customer service requests and support needs.
- Send newsletters, promotions, and other marketing communications.
3. Tracking and Opt-out
We use PostHog and similar analytics tools to help us understand how Pepvote is used, improve the Site, diagnose errors, and measure product performance. These analytics cookies and similar technologies are optional. We only load them after you agree to them.
When you choose Accept analytics, we store pepvote_cookie_consent with a value of true in your browser's local storage and load the analytics tool. When you choose Reject analytics, we store pepvote_cookie_consent with a value of false and the analytics tool is never loaded. If you have not made a choice, the analytics tool is not loaded. In other words, no analytics cookies or analytics identifiers are written to your device unless you accept them first.
Changing your choice
You can change your choice at any time, and withdrawing agreement is as easy as giving it:
- If you have an account, open Dashboard → Profile → Cookies and Analytics and switch Analytics cookies off or on.
- You can also clear this Site's local storage in your browser settings, which makes the cookie banner appear again.
When you switch analytics off, we stop analytics tracking and clear the analytics identifiers already stored in your browser. Your choice applies to your account, so it carries across the browsers and devices you sign in from.
Your browser may also let you block cookies or other storage technologies. Some essential cookies, such as authentication or security cookies, are required for account access and core Site functionality. Withdrawing your agreement does not affect any analytics activity that happened before you withdrew it.
This setting controls optional analytics only. It does not affect the records we need to run your account, process payments, or meet our legal duties.
We may share information we have collected about you in certain situations:
- By Law or to Protect Rights: If we believe release of information about you is necessary to comply with legal process, to respond to claims, or to protect the rights, property, or safety of others.
- Third-Party Service Providers: We may share your information with third parties that perform services for us or on our behalf, such as payment processing, data analysis, email and SMS delivery, hosting services, customer service, and marketing assistance. We list each of these on our Subprocessors page, together with what they are used for and the data they receive.
- Business Transfers: We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
6. Your Rights and Choices
You can act on your information at any time from Dashboard → Profile:
- Get a copy. Use Your Data → Export my data to download the information we hold about you, including your profile, the voting events you created, your invites, and your billing history.
- Delete your account. Use Your Data → Delete my account. This permanently removes your profile, the voting events you created, and the votes, voters, and candidates inside them. Votes you cast in someone else's election are not removed, because they belong to that election's record. Deletion cannot be undone, so export your data first if you want to keep a copy.
- Correct your details. Update your name, email address, and phone number from the same page.
- Control analytics. Turn optional analytics on or off under Cookies and Analytics, as described in Section 3.
Depending on where you live, you may also have the right to object to or restrict certain processing, to receive your data in a portable form, and to complain to your local data protection authority. Write to support@pepvote.com and we will respond within one month.
7. Policy for Children
We do not knowingly solicit information from or market to children under the age of 13. If we learn we have collected personal information from a child under age 13 without verification of parental consent, we will delete that information as quickly as possible.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by updating the "Effective Date" of this Privacy Policy. You are encouraged to review this Privacy Policy periodically to stay informed of updates.
